Privacy and cookie policy — preview draft

This notice describes the isolated Meta-Rebuild approval preview. Contact and newsletter submissions are disabled here. The preview does not send Contact emails, create MailerLite subscriptions or load Microsoft Clarity. Existing production services are not changed by this preview.

Who is responsible?

The Institute of Communication and Computer Systems (ICCS / ΕΠΙΣΕΥ), through its Energy Policy Unit (EPU), is responsible for the website and the planned Contact and newsletter processing. Contact us at contact@meta-build.eu. This existing project address remains in use during the Meta-Rebuild branding transition.

Website operation and cookies

The website uses technical cookies where needed for account sessions and security. Klaro stores your privacy choices for up to 180 days. Optional YouTube content loads only after your permission. Use “Cookie settings” in the footer to review or withdraw that permission.

When YouTube content is enabled, your browser communicates directly with YouTube, which may process connection and usage information under its own privacy information. Links to social platforms and external websites are not loaded as embedded social widgets; clicking them opens the external service.

Contact requests

When the production Contact service is separately approved, it will process the name, email address, subject and message you provide in order to respond to your request. A receipt identifier, timestamps, delivery status and delivery attempt history will be stored before queued email delivery. Receipt replay controls prevent accidental duplicate handling. We do not store raw form requests or session tokens in the submission records. Access to these records is restricted to authorised EPU staff.

Contact requests, associated delivery records and project emails will be retained until the manual closure of the project, when EPU will delete them. You may request earlier deletion, subject to any applicable obligation to retain information. The website's project-closure cleanup does not itself delete mailbox messages, external subscribers or backups; those require separate EPU action.

Newsletter

No newsletter submissions are accepted in this preview. The previous website linked to an external Microsoft Forms subscription form. A native, consent-based single-opt-in MailerLite service is being prepared. Its actual fields, account, group and processor arrangements must be checked before activation; this draft does not claim that the previous form collected only email or that another project's organisation processed its data. The final notice and subscription wording will describe the verified production service before it is enabled.

Once enabled, newsletter receipt records will be accessible only to authorised EPU staff and retained until manual project closure. Newsletter consent may be withdrawn by the unsubscribe mechanism in each communication or by contacting EPU. Withdrawal does not affect processing undertaken before withdrawal.

Hosting, backups and logs

EPU's own backups are made manually and will be deleted at project closure. IPHost provides daily hosting backups with a rolling seven-day retention. Archived access logs are currently kept without automatic deletion. These confirmed hosting arrangements apply to this project and are separate from website receipt retention and EPU's own manual backups. Access logs may contain IP addresses, requested URLs and timestamps. This preview does not change the shared hosting account's log or backup settings.

Optional analytics

Microsoft Clarity is disabled in the preview. Any future production analytics activation must use the optional Klaro choice, protect form fields and be reflected in the final notice; it is not described as anonymous by default.

Your rights

Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your personal data, object to relevant processing and withdraw consent. Contact EPU to exercise your rights. You may also complain to the competent data protection authority. These rights and their conditions are described in the European Commission's data protection information.

Changes to this draft

This preview draft will be reviewed before production activation. It must not be taken as evidence that forms, newsletter delivery or analytics have already been enabled.
